Acceptable Use Policy
Effective date: 12 May 2026
This Acceptable Use Policy ("AUP") sets out the rules that apply when you use AceCopilot ("the Services"). It supplements Section 4 (Acceptable Use, Responsibilities, and Recording Laws) of our Terms of Service. If anything in this AUP conflicts with the Terms of Service, the Terms of Service prevail.
We may update this AUP from time to time. Material changes will be communicated to registered users where required by law.
1. Who this policy applies to
This AUP applies to:
- Anyone who creates an AceCopilot account, regardless of tier (Free, Pro, Ultimate)
- Anyone who uses any AceCopilot Service, including the desktop application, web dashboard, and APIs
- Anyone acting on behalf of, or with credentials issued to, an AceCopilot account holder
2. Prohibited uses
You shall not use the Services to do, or to attempt to do, any of the following.
2.1 Unlawful or harmful activity
- Use the Services in violation of any applicable law, regulation, or court order, including the Information Technology Act 2000, the Digital Personal Data Protection Act 2023, applicable Recording Laws, and the laws of any jurisdiction where you or other meeting participants are located.
- Engage in fraud, identity theft, impersonation, or any form of financial deception.
- Generate, transmit, or store child sexual abuse material; non-consensual intimate imagery; or content that promotes terrorism, mass violence, or self-harm.
- Use the Services in connection with the manufacture, sale, or distribution of weapons, controlled substances, or other goods whose distribution is restricted under Indian law.
2.2 Harassment, defamation, and deepfakes
- Use the Services to harass, threaten, stalk, defame, or intimidate any person.
- Generate or distribute AI-generated audio or video of real people without their informed, written consent ("deepfakes"), or content otherwise intended to deceive or manipulate.
- Use the Services to dox or otherwise reveal private information about any person without their consent.
2.3 Account integrity
- Share your account credentials with any other person.
- Use a single AceCopilot account for more than one individual ("seat sharing"). Each paid subscription entitles one named individual to use the Services.
- Create multiple free-tier accounts to circumvent usage quotas, rate limits, or feature restrictions of the paid tiers.
- Sell, sublicense, lease, lend, transfer, or otherwise commercialise access to the Services without our prior written consent.
2.4 Technical abuse
- Attempt to bypass, disable, or interfere with our authentication, billing, rate-limiting, feature-gating, or security systems.
- Reverse-engineer, decompile, disassemble, or otherwise attempt to derive the source code of the desktop application, our APIs, or our underlying models, except to the extent expressly permitted by Section 4.1 of the Terms of Service.
- Use any automated software, bot, scraper, spider, or similar process to crawl, mine, or extract data from the Services, except using interfaces we expressly designate for that purpose.
- Probe, scan, or test the vulnerability of the Services, or breach or otherwise circumvent any security or authentication measures, without our prior written authorisation.
- Upload, transmit, or generate code, files, or content containing malware, viruses, ransomware, or any other malicious code.
2.5 Service integrity
- Take any action that imposes an unreasonable load on our infrastructure, including denial-of-service attacks, traffic-amplification, and repeated automated retries against our APIs.
- Resell, redistribute, or otherwise make available the AI-generated output of the Services as a standalone service or product.
- Use the Services to develop, train, or improve any artificial intelligence system that competes with the Services.
2.6 Intellectual property
- Upload, generate, or distribute content that infringes any third party's copyright, trademark, patent, trade secret, or other intellectual property right.
- Remove, alter, or obscure any copyright, trademark, or other proprietary notice that appears on or in the Services.
2.7 Recording, workplace, and academic compliance
You are solely responsible for complying with all Recording Laws and with the policies of your employer, prospective employer, educational institution, certification body, or any other organisation involved in the meeting, interview, or call. See Section 4.3 of the Terms of Service for the full responsibility statement.
3. Reporting violations
If you believe someone is using the Services in violation of this AUP, contact us at privacy@acecopilot.ai.
Please include, where you can:
- The nature of the alleged violation
- Account information of the alleged violator (email, username, or any other identifier), if known
- Evidence supporting your report (timestamps, screenshots, sample content, etc.)
- Your contact information so we can follow up if needed
Reports made in good faith will be reviewed promptly. We will not disclose the identity of a reporter to the alleged violator except where required by law.
4. Enforcement
If we determine that you have violated this AUP, we may, at our discretion and depending on the severity of the violation:
- Issue a warning describing the violation and required corrective action
- Suspend access to specific features (for example, AI generation, recording, or API access)
- Suspend your account temporarily pending investigation
- Terminate your account permanently
- Forfeit any prepaid fees, in accordance with Section 6.3 (Termination by Us) of the Terms of Service
- Report the violation to law enforcement or other relevant authorities, where required by law or where we believe in good faith that there is a risk of imminent harm
For severe violations — including those involving illegal content, deepfakes of real persons without consent, attempts to compromise our infrastructure, or fraud — we may terminate the account immediately and without notice.
We do not commit to a specific enforcement timeline or escalation path. Each report is reviewed on its merits.
5. Appeals
If your account has been suspended or terminated and you believe the action was taken in error, you may appeal by emailing support@acecopilot.ai with the subject line "AUP appeal" and your account email address. We will review the appeal and respond within a reasonable time.
Appeals related to alleged illegal content, child safety, or attempted security breach are subject to additional review and may be referred to law enforcement.
6. Updates to this Policy
We may update this AUP from time to time. The "Effective date" at the top of this Policy indicates the date of the most recent update. We will not retroactively penalise you for activity that was permitted under a prior version of this Policy.
For material changes — changes that meaningfully restrict what you may do with the Services, or that introduce new categories of prohibited use — we will give registered users at least 14 days' notice via email or in-Services notification before the change takes effect.
